Terms of service

Last updated: 14 August 2026 · docpilot beta
DRAFT — pending legal review. These terms describe the beta honestly but have not yet been reviewed by a solicitor; they will change before general availability.

1. The service, honestly framed

docpilot extracts structured data from documents you upload, using automated (machine-learning) extraction. Extraction output is machine-generated and can be wrong. The product is built around that fact: every extracted value carries its evidence and a confidence signal, uncertain values are flagged louder than confident ones, and the review-and-approve workflow exists precisely so a human signs off before data is exported. You are responsible for reviewing output before relying on it.

2. Beta status

This is a beta service provided free of charge for evaluation. It is offered as is, without warranty of any kind, and without an uptime or support commitment (support is best-effort — see Support). Features may change, and we may suspend or discontinue the beta with reasonable notice.

3. Your content

Documents you upload remain yours. We process them only to provide the service to your organization — extraction, validation, review, learning within your organization, and export — as described in the privacy notice. We do not use your documents to train models, and nothing learned from your documents is applied to another tenant.

4. Acceptable use

5. Accounts

Keep your credentials to yourself; you are responsible for activity under your account. Organization admins control roles, learning behaviour, retention, and deletion for their organization.

6. Liability

To the maximum extent permitted by law, our liability arising out of the beta is limited to £100 in aggregate. Nothing in these terms excludes liability that cannot be excluded under English law (including for fraud, or death or personal injury caused by negligence). [Placeholder cap — to be settled in legal review.]

7. Termination

You can stop using the beta at any time and ask for your organization's complete erasure (see the privacy notice). We may suspend accounts that break section 4, telling you why.

8. Governing law

These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction. [To be confirmed in legal review.]
